Office Manager/Executive Assistant – CLOSED

We are recruiting an Office Manager/Executive Assistant on behalf of our client in the not-for-profit sector.   This position will report directly to the Executive Director.   The individual is responsible for managing the operations of the organization and ensuring effectiveness by providing leadership and support to the organization as a whole.  The position contributes to the development and implementation of organizational strategies, policies and practices.

Duties and Responsibilities:

  • Oversee operational systems, policies and procedures in support of organization’s mission, vision and values
  • Design and implement solutions for effective management of resources, social capital and develop strategies and objectives for operations activities and meeting targets
  • Play a significant role in long-term planning, including an initiative geared toward operational excellence
  • Monitor the effectiveness and efficiency of administration support through improvement to each function (HR, IT, Finance) as well as coordination between functions
  • Management of human resources including payroll and benefits as well as hiring/on-boarding and retaining employees
  • Leading by example, ensures that teams operate in line with organizational cultures and values
  • Delegate responsibilities effectively and persuasive with details and facts
  • Maintain and manages interim and annual reports including business plans and budgets as well as tracking and allocating operational expenses
  • Monitors financial management, planning , systems and controls
  • Build and maintain good business relationships with external service providers
  • Oversee procurement and identify organizational requirements
  • Provide financial reports to the Executive Director

Skills and Qualification:

  • Minimum 3-5 years experience as an office manager or executive assistant
  • A degree and/or a diploma in Business Administration, Project Management, Finance, or any related education
  • Strong background and experience in financial management, accounting and budgeting
  • Advanced knowledge and experience in Information Technology
  • Ability to analyse complex problems, interpret operational needs and develop creative solutions
  • Excellent interpersonal skills and the ability to effectively communicate  with staff, customers, students and services providers
  • Highly experienced and confident in decision making that aligns with organizational goals
  • A demonstrated commitment to high professional ethical standards in the workplace

Salary range for this position is $50,000 – $60, 000 annually plus benefit package after probation.
