Administrative Assistant (Integration/Education) – CLOSED

Our client is a well-respected, not-for-profit professional organization  located in the heart of downtown, next to the new arena where all the action is. We are recruiting for an Administrative Assistant – Integration/Education on their behalf.  Our client was recognized as one of Alberta’s Top Employers in 2016.

This position will report directly to the Director of Integration and provide general administrative support to the Team.  To be successful in this position, you must have 2-4 years office administrative experience, preferably in an educational institution setting.  As a skilled administrator, you must possess strong technical skills, be highly organized and self- sufficient. You must have the ability to work with minimal supervision and maintain a good working relationship with your team while providing administrative support.  In addition, you must be able to communicate effectively — verbal and written — and have the flexibility to assist and provide administrative support when needed.


  • Provide general administrative support and backup for the Education team
  • Handle incoming and outgoing mail, faxes, record-keeping, and filing
  • Prepare and send correspondence (e.g. welcomes, confirmations, contracts, materials)
  • Book conference calls, travel, and meetings (including ordering food, booking facilities, and preparing materials)
  • Enter data into, and retrieve data from, a customer relationship management system
  • Fulfill customer service duties (on an as-needed basis)
  • Prepare, administer, and collate data from surveys
  • Prepare name tags, tent cards, attendee, and faculty lists
  • Organize, compile, and distribute materials for instruction and evaluation
  • Administer online registrations and subscriptions and fill publication orders
  • Format materials for publication
  • Convert content to various formats (e.g. doc, docx, pdf, epub, html, mp3, mp4)
  • Upload content to online platforms (e.g. LMS, wiki, e-commerce platform, video sharing platform, etc.)
  • Deal with technical login or access issues for customers
  • Process marking sheets, upload grades, and send out marking requests


Bachelor’s Degree in Business, Education and/or any related university degree

Minimum 2-4 years experience in office administration

Experience working in an educational institution or legal professional office is an asset but not a requirement

An equivalent combination of education and/or experience maybe considered

This is a full-time one (1) year contract position to start (potentially transitioning into a permanent position within the organization).   Company offers great benefit package including one (1) Friday off each month and other company perks including a monthly parking/transportation allowance.

Salary range: $40,000 – $45,000 annually.
