Administrative Assistant – FILLED

Our client in Fort Saskatchewan is a well respected full service land broker, focusing on pipeline, exploration, electrical and road projects. They are currently looking to fill an Administrative Assistant. This is a temporary position until they find a suitable candidate. Hourly rate for this position is $20 – $22 per hour depending on experience.

Duties and Responsibilities

Reception duties

  • Telephone system
    • Answering incoming calls from 8 am to 12 pm and 1 pm to 4:30pm
    • Checking voice mailboxes throughout the day (both phone system and TELUS)
    • Recording and maintaining all required systems greetings
    • Support for and training of co-workers
    • Maintaining phone lists
  • Greeting all visitors to the office (clients, vendors, etc.)
    • Offering beverages to clients
    • Ensuring meeting areas are clean and stocked with supplies
    • Making food arrangements as required (snacks, order in lunch, make reservations etc.)
  • Monitoring and ordering of office supplies
  • Incoming and outgoing couriers and mail, including monitoring and ordering of applicable supplies
  • Photocopier maintenance, including monitoring and ordering of supplies and arranging service when required
  • Filing, organizing, water and shredding service coordination

General office duties

  • Emptying kitchen garbage during the week, as needed
  • Cleaning out fridge (food, expired condiments, etc.) every Friday at 4:15 pm
  • Running and unloading dishwasher every Friday after lunch

Assist with safety program

  • Daily check-in and check-out procedures
  • Monthly vehicle inspections
  • Monitoring first aid certification
  • Vehicle insurance coverage for all PMs and Lags
  • Weekly office inspections
  • Emergency evacuation warden


  • Entering all land title and courier charges into Harvest, and preparing report of same
  • Maintain AASLA financial records

Land administration assistance

  • Initial processing of all contact reports
  • Maintain reference materials and map library
  • Assist Land Administrators, as required
